How to review hotel contract amendments

An amendment changes a specific part of an agreement. Applying it safely means matching the right contract, understanding its effective scope and making conflicts visible.

An amendment is not a replacement contract

An amendment may change one season, one room type, a cancellation term or a supplement while leaving the rest of the original agreement intact. Replacing the entire contract record with the amendment can remove valid rates that the amendment never mentioned.

Keep the original and the amendment as separate source documents, with their own dates and identifiers. This makes it possible to explain which document supports the current value and to revisit a decision if another amendment arrives.

Match the document to the right agreement

Check the hotel or property, contracting party, contract reference, season and effective dates. A filename alone is weak evidence: two properties can use similar templates, and one property can have multiple agreements covering different markets or periods.

If those identifiers do not point to a single agreement, stop and ask for a reviewer to choose. An automated match with low confidence can be more expensive to correct later than a brief manual decision now.

Compare only the affected terms

For a rate change, compare room type, occupancy, board basis, currency and date interval against the existing approved rates. For a policy change, compare the exact condition and applicability. Show both the old and proposed values rather than hiding the original behind an overwrite.

Watch for overlapping effective dates. An amendment that starts in the middle of a season may split one existing rate into two intervals. The team should decide whether the new term supersedes the old one for that interval or whether a separate market or booking condition applies.

Record the decision and its source

A reviewer should approve the proposed change, reject it or ask for clarification. Retain the amendment, the previous approved value and the decision so that the current price can be explained later.

Sync the resulting terms only after conflicts are resolved. This keeps the destination system aligned with the reviewed agreement, not merely with the last file that happened to arrive.

Put the checks into a workflow
